Meet Secretly Santa: Free Secret Santa, Minus the Festive Admin

By Web Wonderland

A festive gift in a Santa hat emerging from a web app, connected to participant cards, an invitation and a wish list

Secret Santa should involve a little mystery, a thoughtful gift and perhaps one spectacularly questionable Christmas jumper. It should not require a spreadsheet, a pile of folded paper and somebody being appointed Head of Festive Administration.

So we built Secretly Santa: a free online Secret Santa generator that helps you organise a gift exchange, draw names and share private recipient reveals. It is a little festive fun from Web Wonderland, with a useful idea behind it: let technology handle the organising so people can enjoy the occasion.

Try Secretly Santa for free and get your Christmas plans under way.

A little mystery. A lot less organising.

You know how it starts. Someone suggests a Secret Santa in the group chat. Everybody agrees. Then come the questions: who is taking part, what is the budget, when are we exchanging gifts, and did anyone actually draw the names?

Secretly Santa brings those practical details into one place. Create an exchange, set the budget and date, add your participants and run the draw. Everyone gives once and receives once, with nobody drawing themselves.

Each participant receives an email invitation with a private link to reveal their recipient and see the exchange details. No need to gather everyone around the same hat, especially when your group is spread across different offices, homes or parts of the country.

How the free Secret Santa app works

  1. Create your organiser account. Verify your email using the sign-in link and start a new exchange.
  2. Set the Christmas ground rules. Give your exchange a name, choose a gift budget and currency, and add the date and location.
  3. Add your people. Enter their names and email addresses, with optional photos to make the group feel more familiar.
  4. Check the list and draw names. The app makes the random assignments without anyone drawing themselves.
  5. Send the invitations. Participants open their own link, reveal their recipient and start planning something thoughtful.

The app supports groups of 3–100 people. Check everyone is included before drawing: a completed draw is locked, and you can duplicate the exchange into a fresh draft if you need to start again.

Wish lists and secret questions, without spoiling the surprise

Drawing a name is only the beginning. Choosing a gift for someone whose interests you know mainly through their meeting background can take a little detective work.

Participants can add a wish list to give their Santa a helpful starting point. There is group chat for the shared plans, plus private conversations between Santa and recipient. The Santa's identity stays hidden in that conversation, so you can ask a useful question without signing it “definitely not Dave from accounts”.

The organiser can check invitation progress without opening everyone's assignments or private Santa conversations through the organiser dashboard. Keep invitation links to yourself: they open your participant view and should not be posted in a shared group chat.

One tool for the office, family and friends

Organising the team exchange and the family one? You can manage multiple independent exchanges, each with its own people, budget and plans. Your colleague's gift budget does not need to become a family debate.

Secretly Santa is free to use, with no subscription required. Signing up to organise an exchange does not automatically subscribe you to Web Wonderland marketing emails.

It is there to make a familiar Christmas tradition easier to arrange. You still get to choose the present, wrap it badly and attempt to look innocent when it is opened.

Why we built it: useful technology can be enjoyable too

We made Secretly Santa for a bit of fun, but the thinking behind it is the same thinking we bring to business projects. Start with something people want to do, understand the awkward steps, and build a clearer way through them.

In this case, the process is gathering names, making assignments, sharing the right information with the right person and keeping conversations together. The technology supports the experience rather than asking everybody to learn an elaborate new system.

That is what we enjoy about bespoke web app development. A good application does not have to do everything. It should make its particular task easier, with clear screens, sensible permissions and a next step that feels obvious.

What would you like to make easier in your business?

Your business may not need a digital Santa, but it might have its own version of the same organising problem: information spread between emails, repeated questions, manual handovers or one person keeping everything moving.

A customer portal could bring requests and updates together. A booking tool could help people choose the right option without a long email exchange. An automated workflow could route an enquiry, update a system or prepare a recurring report.

At Web Wonderland, we build websites, web applications and connected systems, and business process automations for businesses across Essex and the UK. The starting point is the task you want to improve, not a list of technologies you need to choose.

For a smaller, defined process, our SME Automation Sprints offer a way to explore a focused improvement. You do not need a technical specification to begin: tell us what takes too long, what gets missed and what a better result would look like.

Ready to take the admin out of Secret Santa?

Bring the people, agree the budget and let Secretly Santa handle the draw. The mystery can stay with the gifts, rather than who was supposed to organise everything.

And if a different task has you wishing for a little technological Christmas magic, tell us what you would love to make easier. We would be happy to talk it through.
